This Privacy Policy explains how Inteleqt (Pty) Ltd ('Inteleqt', 'we', 'us', or 'our') collects, uses, stores, and protects personal information when you use the FuelAudit.AI mobile application and website (collectively, the 'Service'). Please read this policy carefully. By using the Service, you agree to the practices described here.
1. Who We Are
FuelAudit.AI is an AI-powered fuel transaction auditing platform developed and operated by Inteleqt (Pty) Ltd, a company incorporated in South Africa.
Inteleqt acts as the responsible party (as defined under South Africa's Protection of Personal Information Act 4 of 2013, 'POPIA') and, where applicable, as the data controller under the General Data Protection Regulation (EU) 2016/679 ('GDPR') for personal information processed through the Service.
The FuelAudit.AI Service is a business-to-business (B2B) platform. Access is restricted to authorised users of organisations that have an active FuelAudit.AI account. Individual consumers cannot create accounts independently.
2. Scope of This Policy
This policy applies to:
- The FuelAudit.AI mobile application available on Google Play and the Apple App Store
- The FuelAudit.AI website at www.fuelaudit.ai
- Any related support, onboarding, or communication services provided by Inteleqt in connection with the above
It does not apply to the internal data or systems of your employer or client organisation. Your organisation may have its own privacy policies governing the fleet and fuel data processed through your FuelAudit.AI account.
3. Information We Collect
We collect only the information necessary to provide and improve the Service.
3.1 Account and Identity Information
When your organisation adds you as a user, we collect:
- Your full name
- Your business email address
- Your organisation or company name
- Your role or access level within the platform (e.g. Fleet Administrator, Finance Manager, Operator)
3.2 Platform Activity and Actions
When you use FuelAudit.AI, we record the actions you take within the platform to maintain a full audit trail. This includes:
- Transaction review actions (approvals, rejections, escalations)
- Comments or notes added to audit findings
- Flags or classifications applied to transactions or assets
- Exemption approvals and authorisation decisions
- The date, time, and your username associated with each action
This activity data is an essential part of the Service's governance and accountability function and is linked to your account.
3.3 Device and Technical Information
To deliver push notifications and support app performance, we may collect:
- Device token / push notification identifier — used solely to route notifications to your device
- App version and operating system information — used for compatibility and support purposes
- Crash logs and anonymised diagnostic data — used to identify and resolve technical issues; this data is not linked to your personal identity
3.4 Fleet and Fuel Data
FuelAudit.AI processes fleet, vehicle, telematics, and fuel transaction data on behalf of your organisation. This data is owned by and attributed to your organisation, not to you as an individual, and is processed under the terms of your organisation's service agreement with Inteleqt.
We do not collect GPS or location data from your personal mobile device at any time.

4. How We Use Your Information
We use the information we collect for the following purposes:
- Account access and authentication — to verify your identity and provide secure access to the platform
- Service delivery — to operate the audit engine, present audit results, and enable review and approval workflows
- Audit trail and governance — to maintain a complete, attributable record of all actions taken within the platform
- Push notifications — to alert you to Critical and Significant audit findings that require your attention
- Support and communication — to respond to support requests, technical issues, and service queries
- App performance and stability — to diagnose crashes, fix bugs, and improve the Service using anonymised data
- Legal and compliance obligations — to comply with applicable laws, regulations, and legitimate legal requests
We do not use your personal information for advertising, marketing profiling, or sale to third parties.
5. Legal Basis for Processing
Where data protection law requires us to identify a legal basis for processing personal information, we rely on the following:
- Performance of a contract — processing necessary to provide the Service under your organisation's agreement with Inteleqt
- Legitimate interests — processing for app security, fraud prevention, audit trail integrity, platform improvement, and support
- Legal obligation — processing required to comply with applicable laws and regulations
- Consent — where we rely on consent (e.g. push notifications), you may withdraw it at any time through your device settings without affecting your access to the Service
Under POPIA, we process personal information on the grounds that it is necessary for the legitimate interests of Inteleqt or your organisation, and for the performance of the service contract to which you or your employer is a party.
6. Data Sharing and Third Parties
We do not sell, rent, or trade your personal information to any third party.
We may share limited personal information with trusted third-party service providers who assist us in operating the Service, strictly under data processing agreements that require them to protect your information and use it only for the purposes we specify. These may include:
- Cloud hosting and infrastructure providers — to store and process Service data securely
- Push notification services — to deliver notifications to your device (e.g. Apple APNs, Google FCM)
- Application performance and crash reporting tools — to monitor app health using anonymised diagnostic data
We may also disclose personal information where required by law, regulation, court order, or to protect the rights, safety, or property of Inteleqt, its users, or the public.
Your organisation's administrators have access to your account information and activity log within the platform as part of the Service's governance function — this is inherent to the audit and accountability purpose of FuelAudit.AI.
7. Data Retention
We retain personal information for as long as your account is active or as needed to provide the Service.
- Account information (name, email, role) is retained for the duration of your organisation's service agreement with Inteleqt and for up to 12 months following account closure, after which it is deleted or anonymised.
- Audit trail and platform activity records may be retained for longer periods where required by your organisation's contractual terms or applicable legal and regulatory requirements.
- Anonymised diagnostic data may be retained indefinitely as it cannot be used to identify you.
You may request deletion of your personal information at any time (see Section 9). Where deletion is not possible due to legal or contractual obligations, we will inform you of the reason.
8. Data Security
We take the security of your personal information seriously. The measures we have in place include:
- Encryption in transit — all data transmitted between your device and our servers is encrypted using industry-standard TLS (Transport Layer Security)
- Secure cloud infrastructure — data is hosted on reputable cloud platforms with enterprise-grade physical and logical security controls
- Access controls — access to personal information within Inteleqt is restricted to personnel who require it to perform their role
- Account security — account access is protected by authentication credentials; users are responsible for keeping their credentials confidential
No method of transmission over the internet or electronic storage is completely secure. While we implement appropriate safeguards, we cannot guarantee absolute security. In the event of a data breach that affects your rights, we will notify you and the relevant regulatory authority as required by law.
9. Your Rights
Depending on your location and applicable law, you may have the following rights regarding your personal information:

If you are based in South Africa, you have the right to lodge a complaint with the Information Regulator at www.justice.gov.za/inforeg. If you are based in the European Economic Area or the United Kingdom, you have the right to lodge a complaint with your local data protection supervisory authority.
10. Push Notifications
The FuelAudit.AI app may send push notifications to your device to alert you to audit findings that require your attention, including Critical and Significant tier findings within your fleet.
Push notifications are only sent if you have granted permission through your device settings. You can enable or disable notifications at any time via your device's notification settings. Disabling notifications does not affect your ability to access and use the app.
11. Children's Privacy
FuelAudit.AI is a professional B2B platform intended exclusively for use by adults in a business context. It is not directed at, designed for, or intended to be used by anyone under the age of 18, and we do not knowingly collect personal information from anyone under the age of 13.
If we become aware that personal information has been collected from a person under the age of 13, we will take immediate steps to delete that information. If you believe we may have inadvertently collected such information, please contact us at support@fuelaudit.ai.
12. International Data Transfers
Inteleqt is headquartered in South Africa. If you access the Service from outside South Africa, your personal information may be transferred to and processed in South Africa or in other countries where our service providers operate.
Where personal information is transferred internationally, we take appropriate steps to ensure it is protected in accordance with applicable data protection laws, including through contractual protections with our service providers.
13. Cookies and Website Tracking
The FuelAudit.AI mobile application does not use cookies.
The FuelAudit.AI website (www.fuelaudit.ai) may use cookies and similar technologies for basic site functionality and analytics. Where we do so, we will provide a separate cookie notice and, where required, obtain your consent before placing non-essential cookies on your device.
14. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, the Service, or applicable law. When we make material changes, we will:
- Update the Last Updated date at the top of this document
- Notify active users via the app or by email where the changes are significant
We encourage you to review this policy periodically. Your continued use of the Service after any changes indicates your acceptance of the updated policy.
